Executive Assistant (maternity cover)

Reporting To: Managing Director

12 months

Up to £55k

About the role:

This is a key coordination and assistant role within a large Media Agency. The Executive Assistant will be savvy and tenacious to deal with the day-today operations and ensure things happen.

The remit of the role is extensive and comes with huge responsibilities with lots of scope to get more involved. The role requires someone who can step up and support not only the classic EA duties, such as gatekeeping, managing a very busy diary, and overseeing global travel itineraries, but also build relationships with key stakeholders and keep track of the MDs heavy workload.

A key part of this role is to be a real self-starter, someone who has business development / networking skills and who can recognise an opportunity they feel will benefit the business.

Key Responsibilities:

  • EA to Global Managing Director
  • Extensive diary management (across multiple time zones)
  • Inbox management
  • Assisting & communicating with executives throughout the decision-making, program management & initiative implementation stages
  • Acting as a liaison between the staff, Managing Director regarding the company's climate, employee's well-being, and project updates
  • Organise, plan, and manage projects for continuous improvement related to the business
  • Take the initiative in identifying, initiating, and implementing processes/projects to improve and achieve overarching business aims
  • Oversee Global Assistants
  • Work alongside Comms team to draft monthly all staff emails, promote personal & brand profiles
  • Responsible for: business conference/events arrangements, board minutes, completing expenses, conference calls, typing correspondence and creating PowerPoint presentations
  • Complicated international travel arrangements: travel Champion for Global teams based in London
  • Building good relationships with employees
  • Be responsible for managing the All staff contact lists, email groups and onboarding new starters
  • General support for information systems across a spectrum of operational tasks
  • Ad hoc office management & HR admin

Experience/skills required:

  • Strong EA/Business Assistance experience, supporting senior management
  • Professionalism, politeness, and reliability are expected in any person joining our company
  • 'Can do attitude' - drive to deliver quality outputs, to the highest of standards
  • Ability in reviewing and prioritising workload
  • Excellent levels of attention to detail
  • Excellent communication and organisational skills

  • Good computer literacy (MS Office - Excel, PowerPoint, Outlook)
  • Previous experience in Finance and/or Operation
