Key Responsibilities

Administration

  • Extensive diary management (primarily for the GM)
  • Scheduling and logistics for executive meetings (f2f, calls, VMR)
  • Supporting with production and collation of meeting materials
  • Directorship documentation
  • Facilitating on-boarding of new senior staff members
  • Providing localised admin support for project leads
  • Providing remote support for other leaders
  • Handling inbound mail and distributing accordingly
  • Provide guidance on scheduling of company events to Internal Comms lead, HR and other functions
  • Escalating issues (IT, WorkDay, other tools) to the appropriate team to resolve swiftly
  • In conjunction with the GM, plan and execute the annual business calendar, liaising with other EAs across the business to ensure it is aligned with corporate calendars
  • Organisation of quarterly off-site events

Executive Travel & Expenses

  • Supporting exec team with travel bookings, providing guidance on other company travel
  • Planning, budgeting and executing on quarterly Leadership Team off-sites, and other ad hoc executive meals and events
  • Supporting exec team with collating and submitting expense reports

Ad Hoc / General

  • Meeting room management and bookings
  • Meeting external guests at reception and hosting them whilst in office
  • Maintaining executive team DL lists
  • Assisting project teams with meeting bookings, calendar invites etc
  • Liaising with Facilities and WPR (Work Place Resources)
  • Project management for ad hoc projects
  • Research as required for GM (eg new vendors, venues etc)

Requirements

  • Proven experience as an Administrative / Executive Assistant to a senior executive in a multinational context
  • Experienced in managing international travel, travel agencies and delivering a seamless experience
  • Proficient with Microsoft Office including MS Outlook and Excel.
  • Native or highly fluent in English is essential.
  • Passion for the internet as well as some familiarity with the eBay product as an end user is preferred
  • Ability to provide a great service to executives - organised, calm & discreet
  • A proactive, forward thinking approach.
