As an Intellectual Property Assistant, you will look after:

  • Organisational Support: Efficiently organise daily routines to ensure timely and accurate completion of team correspondence, documents, and instructions.
  • Audio Typing: Create high-quality typed documents, often from dictation, with a focus on both precision and speed.
  • Diary Management: Manage schedules, including booking meetings for both new and existing clients.
  • Document Production: Prepare various documents as required by the team and clients.
  • Filing Applications: Handle the preparation and filing of patent and trademark applications for the UK, EU, and international cases.
  • Financial Management: Process quotes, invoices, credit notes, and renewals, ensuring financial matters are dealt with accurately.
  • File and Email Management: Maintain organised electronic files, respond to emails when necessary, and manage incoming and outgoing correspondence.
  • Client Communication: Interact with clients concerning their IP matters, which includes face-to-face meetings and phone calls.
  • Post Management: Handle internal and external mail, distributing, actioning, and filing as needed.
  • Euro-GB Validation: Manage Euro-GB validation work related to intellectual property.
  • Information Disclosure Statements: Compile and manage information disclosure statements as required.
  • Renewals: Process payments for renewals and send renewal reminders to clients.
  • Registry Communication: Engage in communication with various intellectual property registries, including those in the UK, Europe, and WIPO (World Intellectual Property Organisation).

Your Profile:

The ideal Intellectual Property Assistant, will be,

  • Experience & Passion: Ideally, you should have 2-3 years' experience in IP formalities or secretarial support, coupled with a genuine interest in IP law.
  • Admin & Secretarial Skills: You'll be instrumental in delivering comprehensive administrative and secretarial support to our team. Legal secretarial experience is essential.
  • Communication: Exceptional communication skills are vital, especially for client interactions over the phone.
  • Attention to Detail: Precision in document production and upholding high-quality standards is paramount.
  • IP System Familiarity: Familiarity with IP systems (UK, European, and international, including Madrid and PCT) is a plus, and we offer on-the-job training.
  • Pressure Handling: Demonstrated ability to work efficiently under pressure and adeptly prioritise tasks.
  • Software Proficiency: Proficiency in Microsoft Office, specifically Outlook and Word, is a prerequisite.
