The Position
This is a full-time, 12-month fixed-term contract located in one of our UK offices: Bristol, London, Sheffield, or Warwick. We offer hybrid working arrangements, including the option to work remotely from home.
In this role, your duties will encompass:
- Providing comprehensive secretarial support, including document typing for letters, emails, and patent specifications.
- Managing personal and team email inboxes, processing both electronic and hard-copy mail, updating our case management system, and acknowledging receipt when appropriate.
- Maintaining our computerised case management system meticulously on a daily basis. This involves following workflows, generating standard correspondence from templates, and coordinating with Records and Accounts departments, as well as our sister company, Withers & Rogers Renewals.
- Preparing official forms for UK, European, and other patent applications, as well as design applications when required. This includes utilising online filing software, handling official fee payments accurately, and providing precise reports.
- Organising and prioritising your workload effectively while remaining composed in a fast work environment.
- Adhering to Withers & Rogers' and client-specific processes and procedures with precision.
- Creating and maintaining documentation to document processes developed for key clients.
- Accurately preparing and processing invoices, utilising e-billing systems when necessary.
As an IP Administrator, you will have:
- 3-5 years of administrative experience, with a preference for patent administration experience.
- Strong communication skills and the ability to engage with individuals at all organisational levels, both internally and externally.
- Exceptional attention to detail and a commitment to producing high-quality work.
- The capacity to manage and prioritise workloads effectively, maintain composure during busy periods, and proactively assist other team members. You should also be capable of managing an attorney's emails, assessing urgency, and taking necessary actions.
- Proficiency in Microsoft Office applications, particularly Outlook, Word, and Excel (essential). Ideally, you should also have an understanding of case management systems and experience in following/generating standard procedures and templates for recurring tasks.
- A willingness to learn and actively participate.
- The ability to work both independently and as part of a team.
